Executive Assistant (Remote)

Administrative Support:
  • Manage and maintain executives’ schedules, including arranging meetings, appointments, and travel.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Handle incoming calls, emails, and other communications, ensuring prompt and professional responses.
Meeting Coordination:
  • Plan and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Arrange conference calls, video conferences, and other virtual meetings.
  • Travel Arrangements:
  • Organize and manage complex travel itineraries, including flights, accommodations, transportation, and logistics.
  • Prepare travel expense reports and handle reimbursement processes.
Project Management:
  • Assist in the planning and execution of special projects and events.
  • Track project timelines and deliverables, ensuring deadlines are met.
  • Confidentiality and Discretion:
  • Handle sensitive information with the utmost confidentiality and professionalism.
  • Maintain comprehensive and accurate records and files.
ADHOC/S:
  • With graphic design skills, administration, logistics understanding, bookings and other assistant work
  • Has experience in any CRM
We need someone flexible with tasks and experienced, friendly to manage the school communication etc with our marketing/ logistics and operational team.
  • Minimum 3 years work experience required and need to know the basic administration software):
  • Help logistics team with End-to-end event management for incursions & VR room admin process, conferences and some VR room logistics. This includes (but limited to) equipment and program readiness communication, Runsheet creation on word or excel and distribution within the team, arranging briefing calls on the calendars, staff rosters on the calendars and accommodating last minute changes, following up with other team members on the end to end delivery of each event. - making list of setting up the events space at each high school, including chairs, headsets, student information and testing equipment
  • Participate in school meetings and arrange school meetings for other leading team members.
  • Help with booking travel arrangements
  • Proficiency in the Windows 10 operating system - Other key tasks will also include coordinating with the IT team to set up the venues and ensure ongoing maintenance of activity consumables within budget, as well as providing general IT support to the delivery staff at the time of content delivery. Team coordination support to the current logistics manager.
  • Event planning administration work and working with the team to assist with the overall logistical objectives of the VR events.
  • Gathering feedback forms after each VR session at schools
  • Attending the team meetings and contributing ideas and feedback as required
  • Participate in ongoing training and development as required
  • Other ad hoc responsibilities as they arise to be discussed and agreed with the management
  • Remaining flexible with the type of tasks as the company continues to develop more innovative product
Personal Attributes, Skills & Experience
An energetic, technical and knowledgeable person with a degree of flexibility and adaptability with minimum 3 years previous experience required.
To be successful in the role you will be a naturally highly organised person, who uses their initiative to build relationships internally as well as externally and common sense when things don’t go to plan. You will be someone who works well under pressure and enjoys thinking and working on their feet.
You will be a confident online meeting moderator / presenter who enjoys leading an event and working with a team to deliver the best level of planning to help them deliver the best events possible. An ideal background for this role is experience working in one or more of the following areas: - Virtual Reality or gaming product set-up - Working within VR events - Coaching children’s sports - Youth work - Children’s Camps - Teaching or tutoring high school students
Job Type: Part-time
Pay: Up to Php20,000.00 per month
Expected hours: 25 per week
